Summary of Duties:

 

Reporting to the Senior FPDS Officer (Head of the Communications Team), the Media Relations Assistant supports the Embassy's media relations program and possesses in-depth knowledge of Japanese media and media relations. This role involves a variety of media-related duties, including:

  • Organizing and managing media events such as briefings, press conferences, media tours, and public outreach activities.

  • Researching and preparing press releases

  • Monitoring media and social media

  • Analyzing media coverage quickly and effectively

  • Preparing reports based on media analysis

  • Assisting with media relations activities for high-level functions

  • Preparing and coordinating social media content to ensure consistent messaging across all media channels.

This role requires keen awareness of current issues and trends in Japan, as well as opportunities and challenges. The ideal candidate is also familiar with the work environment of an embassy or international organization and capable of building and maintaining contacts in government, diplomatic, media, and other circles to arrange appropriate engagements.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

Education:

Candidates will be required to provide proof of the completion of their education.

  • Bachelor’s degree from a recognized university or an acceptable combination of education, training and/or experience.

 

 

Language:

  • Advanced Proficiency in English (written and spoken)
  • Advanced Proficiency in Japanese (written and spoken)

 

 

Experience:

Minimum of two years of experience in at least three (3) of the following areas:

  • Researching, writing and preparing text for publication, as well as editing and proof-reading various documents;
  • Arranging briefings, interviews or meetings with media;
  • Conducting media relations activities;
  • Providing strategic communications advice;
  • Analyzing and summarizing media coverage of various issues and reporting accordingly.

 

 

RATED REQUIREMENTS

Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Fluency in written and spoken French
  • Experience working on social media 
  • Experience working in a diplomatic mission or an international organization in a similar position.

 

Operational Requirements:

  • Occasional travel and overtime may be required
  • Working hours are 37.5 hours per week, Monday to Friday, 09:00 to 17:30 with a one-hour lunch break 12:30-13:30. Saturdays and Sundays are rest days.

 

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.

Special Request from Mission / Additional Comments:

  • Commuting assistance is available (up to a monthly limit of JPY 18,300).
  • Depending on the approval of management and job type, remote work may be available for up to one day per week.
  • The Canadian Embassy is enrolled in Japan's labor insurance (workers' compensation insurance and employment insurance).
