SUMMARY OF DUTIES

Reporting to the Information and Education Promotion Officer, the Senior Education and Academic Relations Assistant provides support and assists in the delivery of the Embassy of Canada’s Education Promotion and Academic Relations efforts, including research and report writing, event organization, promotion, and key contact database management; performs a variety of administrative support functions; and performs other related duties as required. This role includes, but is not limited to, the following responsibilities:  

  • Coordinate and support the delivery of education promotion initiatives, including the organization and participation in education fairs, presentations, and official visits, with the objective of strengthening Canada-Japan institutional linkages.  
  • Facilitate business development and partnership opportunities by arranging business-to-business (B2B) meetings and encouraging the development of partnerships between Canadian and Japanese educational institutions.  
  • Provide administrative and logistical support for education and trade-related activities, including travel arrangements, meeting scheduling, budget monitoring, making payments, and event planning.  
  • Enter and maintain accurate records of activities, contacts, and outcomes in the TRIO database, ensuring compliance with reporting requirements.  
  • Conduct research and analysis on trends and developments in the education sector, identifying opportunities for collaboration and promoting Canada as a preferred study destination.  
  • Contribute to the public affairs section communication efforts, including making presentations on Study in Canada to students, preparing reports, correspondence, and social media content targeting students, educators, and institutional partners.  
  • Establishing and maintaining operational contacts with local government, educational institutions, and other stakeholders to facilitate program delivery, advocacy, and trade promotion.  
  • Supporting other day-to-day operations of the Public Affairs Section as needed.  

This role requires knowledge of the Canadian and Japanese education systems, including current issues, trends, opportunities, and challenges related to education, academic engagement, and institutional partnerships. The ideal candidate is familiar with the working environment of an embassy or international organization and can build and maintain effective professional relationships in government, education, academic, and other relevant circles.

Education

This position requires:

  • Bachelor’s degree from a recognized university or an acceptable combination of education, training and/or experience.

Language

The Following languages and proficiency levels are required for this job. Candidates will be formally assessed or requested to provide proof of certification on these levels. 

  • An advanced proficiency level (reading, writing, comprehension, and speaking) in English.
  • An advanced proficiency level (reading, writing, comprehension, and speaking) in Japanese.

 

Experience

In order to perform the duties relevant to this job, the following experience is required.

  • Minimum of two years of experience in a relevant position in either government or the education sector.
  • Experience providing administrative support in a team environment.

ASSET QUALIFICATIONS

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Fluency in written and spoken French.
  • Experience in using social media within an organization.
  • Experience working in a diplomatic mission or an international organisation in a similar position.

 

 

OPERATIONAL REQUIREMENTS

Operational requirements will be assessed on a ``meet/does not meet`` basis and can be used to determine right fit of a candidate for the position.

  • Occasional travel and overtime may be required.
  • Must be available for occasional duties outside normal working hours (i.e. evenings and weekends). Overtime will be paid for work in excess of 37.5 hours per week.
  • Working hours are 37.5 hours per week, Monday to Friday, 09:00 to 17:30 with a one-hour lunch break 12:30-13:30. Saturdays and Sundays are rest days.
  • The position requires the ability to perform moderate physical tasks, including lifting and carrying boxes, moving event materials, and setting up venues. Candidates must be able to perform these duties without mobility restrictions.

CONDITIONS OF EMPLOYMENT

Conditions of employment must be met or complied with before being appointed to a particular position. They are to be maintained throughout the employment period.

  • Valid work authorization: Ability to obtain and hold a valid work authorization at the time of application and for the entire period of employment is required.
  • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.

  • Must have the legal right to work in Japan. You are required to provide satisfactory evidence of your work rights prior to commencing employment and at any time during your employment upon request. (Japanese Citizen, Permanent Resident, or specific visa categories are required by Immigration Services Agency or employment in a foreign mission).
  • Must provide a local address as proof of residence in the specific city, region or country before an offer of employment can be made. The address will appears on the offer letter.
  • Health assessment may be requested at the discretion of the Head of Mission.


Special Request from Mission / Additional Comments:

  • Commuting assistance is available (up to a monthly limit of JPY 18,300).
  • Depending on the approval of management and job type, remote work may be available for up to one day per week.
  • The Canadian Embassy is enrolled in Japan's labor insurance (worker's compensation insurance and employment insurance).
