SUMMARY OF DUTIES

The mission is seeking to fill a Program Assistant, IRCC position for the Immigration program as well as other program assistant positions that may arise following this selection process. These positions provide administrative support services in support of the delivery of the Immigration, Refugees and Citizenship Canada (IRCC) program in a mission. Core responsibilities include but are not limited to screening documentation, applications and files, reviewing for completeness and accuracy, identifying discrepancies, obtaining and reviewing data, seeking out missing or relevant information and assessing problematic cases.

 

AREA OF SELECTION

ESSENTIAL QUALIFICATIONS

Education

This position requires:

 

A Secondary/High School Diploma (or equivalent) from a legally recognized Secondary/Highschool or an equivalent combination of education, training, and/or experience.

Language

The Following languages and proficiency levels are required for this job. Candidates will be formally assessed or requested to provide proof of certification on these levels. 

 

  • An advanced proficiency level (reading, writing, comprehension, and speaking) in English.

 

Experience

In order to perform the duties relevant to this job, the following experience is required.

 

  • Two (2) years cumulative experience in office environment such as administrative support.

 

Knowledge:

  • Knowledge of software/systems required to produce, validate and update various reports, spreadsheets, presentations, correspondence, and databases. (MS Office suite, Goggle Drive, etc.)

ASSET QUALIFICATIONS

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

 

  • Ability to effectively communicate in French
  • Ability to effectively communicate in Bengali
  • Experience in data analysis and graphical techniques for writing and graphic representations (may include Visual Basic for Applications)
  • Experience creating and editing professional correspondence and other products intended for external audiences

 

OPERATIONAL REQUIREMENTS

Operational requirements will be assessed on a ``meet/does not meet`` basis and can be used to determine right fit of a candidate for the position.

 

  • Hours of Work: Normal hours of work of work for this position are in accordance with Locally-Engaged Staff regulations of 37.5 hours per week.
  • Overtime: Willingness to work overtime on short notice.

 

CONDITIONS OF EMPLOYMENT

Conditions of employment must be met or complied with before being appointed to a particular position. They are to be maintained throughout the employment period.

 

  • Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
  • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada. 

 

Other conditions of employment:

  • Candidates will be required to undergo a pre-employment medical examination.
  • Candidates must provide their Singapore citizenship or Permanent Resident NRIC number with their application.
  • Be able to work legally in Singapore at the time of application. The High Commission of Canada in Singapore does not sponsor any employment or work pass applications to the Ministry of Manpower.
