Summary of Duties:

LE- A2 Consular Assistant
The Consular Assistant provides administrative and operational support to the consular, passport, and citizenship programs at the mission, reporting directly to the Deputy Management and Consular Officer (Vice-Consul). The role involves processing applications, responding to public inquiries, supporting Canadians in distress, and ensuring the efficient delivery of consular services.

Key responsibilities include reviewing and processing passport and citizenship applications, including urgent travel documents; collecting and recording fees; maintaining accurate records; and providing general advice to clients on Canadian consular services and procedures. The incumbent also performs administrative duties such as file and document management, arranging travel and meetings, organizing logistics, and liaising with the Common Service Delivery Point (CSDP).

The Consular Assistant responds to inquiries from the public—by phone, email, in person, and via social media—on topics including citizenship, passports, and various services. The incumbent may also support internal mission activities such as working groups or events, and assist in crisis or emergency situations. At all times, they are expected to safeguard information and assets in accordance with the Government of Canada’s security and privacy protocols.

LE-A1 Consular Clerk
The Consular Clerk provides administrative and clerical support to the consular, passport, and citizenship programs under the supervision of the Consular Officer. Key responsibilities include assisting with the processing of passport and citizenship applications, verifying documentation, managing incoming and outgoing mail, maintaining case files and databases, and ensuring all data is accurately entered into relevant systems.

The Consular Clerk is the primary point of contact for public inquiries, responding to questions by email, phone, and in person. The role also includes processing financial claims, tracking payments, and managing office supplies. At all times, the incumbent must uphold strict security protocols and protect personal information in accordance with the Privacy Act. The Consular Clerk may also assist with unofficial translation/interpretation and support high-level visits, conferences, and emergency response efforts as needed.

 

Area of Selection:

This position is open to applicants who are currently residing and have a valid work authorization in Pakistan, who meet all the essential qualifications stated and whose applications are received by the closing date.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Education:

Candidates will be required to provide proof of the completion of their education.

  • University Degree from an international or local recognized institution (16 years of education)

 

Language:

  • Advanced level in English (oral and written)
  • Advanced level in Urdu (oral and written)

 

Experience:

LE-A1: Minimum of one (1) year of recent* experience in the areas mentioned below.
LE-A2: Minimum of two (2) years of recent* experience in the areas mentioned below.


  • Working in an office environment in providing administrative support
  • In Data entry and Database Management
  • Organizing and maintaining physical and or electronic files
  • Dealing with clients (internal or external), partners or stakeholders
*Recent experience defined as experience acquired within the last three (3) years

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Proficiency in French, and/or Dari - (reading, writing, comprehension and speaking)
  • Experience working for a foreign mission, government office or an international organization.
  • Experience working in a consular section in an Embassy / High Commission.
  • Recent* work experience applying and interpreting directives, policies and procedures in a regulatory environment.
  • Completion of the Passport Training for Foreign Operations course.

*Recent experience defined as experience acquired within the last three (3) years 

Operational Requirements:

  • Working hours: 37.5 hours per week.
  • Ability to work overtime (evenings, weekends, and/or statutory holidays if necessary)

 

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
