Salary:  The starting salary of the position is JPY 4,710,548 per annum and is non-negotiable. All employees are provided an annual step increase to the maximum salary of JPY 6,804,793 per annum. Internal candidates starting salary will be determined based on the Global Affairs Canada Pay Guidelines.

SUMMARY OF DUTIES

Provides safe, secure, and professional transportation services for Embassy staff, official visitors, and dignitaries; receives and coordinates transportation requests, conducts route planning and verification, and monitors road and traffic conditions to ensure timely service delivery. Provides courier and logistical support services, including the delivery and collection of documents, packages, and other items. Maintains fleet vehicles through routine inspections, cleaning, servicing, record keeping, and coordination of maintenance activities. Processes transportation-related invoices, logbooks, and other documentation; provides general administrative support; and performs other related duties as required. 

  

AREA OF SELECTION

This position is open to all qualified candidates, including Embassy employees and the spouses, partners, and dependants of Canada-based staff, who meet all essential qualifications and whose applications are received by the closing date. Candidates must be available to participate in tests and/or interviews at the Embassy of Canada to Japan as part of the competitive process. Candidates must be eligible to work in Japan and possess all required work permits and visas.

Education

This position requires

  • A secondary/high school diploma (or equivalent) from a legally recognized Secondary/High School.

Language

The following languages and proficiency levels are required for this job. Candidates will be formally assessed or requested to provide proof of certification on these levels. 

  • An intermediate proficiency level (reading, writing, comprehension, and speaking) in English.
  • An intermediate proficiency level (reading, writing, comprehension, and speaking) in Japanese.

 

Experience

In order to perform the duties relevant to this job, the following experience is required.

  • Recent experience (at least two years obtained in the last five years) in providing professional driving services. Applicants should include examples in their submission on how they meet this requirement.
  • Experience delivering responsive and client-focused services while managing multiple requests and deadlines.
  • Experience supporting office operations through the provision of administrative, logistical, and client service support.

ASSET QUALIFICATIONS

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Proficiency in written and spoken French. 
  • Experience working in an international organization such as an embassy, multilateral organization or multinational corporation.

   

OPERATIONAL REQUIREMENTS

Operational requirements will be assessed on a "meet/does not meet" basis and will be considered in determining a candidate's suitability for the position. 

  • Willingness and ability to work a 40-hour work week, Monday to Friday, from 08:30 to 17:30 or from 09:00 to 18:00 with rotating schedules established to meet operational requirements and a one-hour lunch break, in accordance with the Terms and Conditions of Employment for Locally Engaged Staff (LES) in Japan. 
  • Availability to work occasional overtime and duties outside regular working hours, including evenings and weekends, with advance notice where operationally feasible. 
  • Ability to perform the physical duties of the position, including lifting, carrying, and moving items weighing up to 20 kg. 
  • Ability to safely operate motor vehicles as required in the performance of duties.

 

CONDITIONS OF EMPLOYMENT

Conditions of employment must be met prior to appointment and maintained throughout the employment period.

  • Valid work authorization: Ability to obtain and maintain valid work authorisation covering the entire period of employment.
  • Security screening: Ability to obtain and maintain a Government of Canada Reliability Status (security clearance), which includes criminal record and credit checks.
  • Driver's licence: Possession of a valid Japanese driver's licence for a minimum of ten (10) years. At the time of application, the licence must include medium vehicle classification and authorisation to operate both automatic and manual transmission vehicles. 
  • Driving record: Ability to provide a Five-Year Driving Record Certificate (運転記録証明書(5年)). 
  • Micro-bus qualification: Where the driver's licence does not include authorisation to operate a micro-bus, willingness to complete Embassy-funded training and obtain the required qualification. 
  • Medical and vision requirements: Must be medically fit to perform the duties of the position, including the safe operation of a motor vehicle, as confirmed through a medical examination and report. The medical examination will be arranged and paid for by the Embassy prior to appointment and will be required annually throughout employment.
  • Values and ethics: Compliance with Global Affairs Canada's Values and Ethics Code and all applicable mission policies and procedures.
