Summary of Duties:  

 
Provides clerical and administrative support to the consular and/or passport and/or citizenship program in a mission. This includes: 

  • Receives, logs and distributes incoming mail;
  • Prepares outgoing mail for the consular, passport and citizenship programs;
  • Performs completeness checks for citizenship applications, and prepares for on-wards processing;
  • Maintains and updates information in systems and spreadsheets;
  • Provides Back-up and surge capacity when needed to process passport applications;
  • Performs other tasks as required. 

 
Area of selection: 

This position is open to applicants residing in China at the time of appointment who meet all essential qualifications and whose applications are received by the closing date.

Essential Qualifications:

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience. Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.  

*Language will be assessed further during the process.  


Education:
 

  • Bachelor’s degree from a university, OR an acceptable equivalent through the combination of education and work experience 

Language: 

  • Intermediate to advanced level of English  
  • Intermediate to advanced level of Mandarin  


Experience
: 

  • Minimum of 1 year recent* cumulative experience working in client service, including telephone contact, in-person services, or in-writing services; 
  • Minimum of 1 year cumulative experience in providing administrative support such as managing calendar and correspondence, review of documents, and organizing travel logistics. 
*Recent is defined as during the past five (5) years.

Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview online, in-person, role-play, practical tests, presentations and/or psychometric assessment.

Asset Qualifications: 

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications. 

  • Working ability in French 
  • Working in a diplomatic mission or international organization  
  • Experience in providing consular services 
  • Experience in working in a call centre 
  • Experience using an integrated information or data management system to accomplish work-related tasks  

 
Operational Requirement: 

  • Ability and willingness to work overtime as required, sometimes on short notice   


Conditions of Employment
:
 

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position. 

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period. The Embassy / Consulates can only facilitate working visas for Canadian citizens 

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period. 

- Other conditions of employment: 

  • Passport Certification - undergo and succeed the Passport Certification within 6 months of appointment.
