SUMMARY OF DUTIES

Under the direction of the Deputy Management and Consular Officer (DMCO), the Transportation Team Coordinator plays a supervisory role over the dispatcher and mechanic and ensures the overall efficiency of transportation operations. The incumbent is primarily responsible for the overall coordination of the service, as well as administrative follow-up, ensuring rigorous management of resources, schedules, and procedures.

In this capacity, the Coordinator will:

• Supervise the dispatcher and mechanic
• Ensure the quality and consistency of fleet management, including maintenance, vehicle dispatching, and schedule planning
• Ensure administrative follow-up of transportation activities (reports, records, compliance, and documentation)
• Monitor vehicle usage and status
• Coordinate vehicle maintenance and repairs
• Liaise with external suppliers and specialized workshops for major repairs
• Manage drivers’ schedules and optimize the use of resources
• Manage inventory, including the procurement of spare parts and garage equipment
• Provide analyses and recommendations to management and headquarters regarding the condition of the fleet
• Ensure compliance with Embassy policies, internal procedures, and safety standards

ESSENTIAL QUALIFICATIONS

All essential qualifications will be assessed. Methods of assessments and screening of candidates may include but are not limited to: verification of credentials, resume and letters of presentation; interviews, exams and practical tests; presentations or other types of assessments. 

 

Education

  • Post-secondary diploma from a recognized institution in a discipline related to the requirements of the position (e.g. Business Administration, Management, Transportation and Logistics, Human Resources, or a related field),
    OR
  • An equivalent combination of education and experience.

Language

The Following languages and proficiency levels are required for this job. Candidates will be formally assessed or requested to provide proof of certification on these levels. 

  • An advanced proficiency level (reading, writing, comprehension, and speaking) in French.
  • An intermediate proficiency level (reading, writing, comprehension, and speaking) in Créole.

 

Experience

In order to perform the duties relevant to this job, the following experience is required.

  • Recent* experience of at least one year in logistics, fleet management, coordination of operational activities, coordination of equipment or vehicle maintenance, transportation management, or coordination of field personnel (e.g. drivers, technicians, operators), preferably within an international or governmental organization;

    • Recent* experience of at least one year supervising a team of at least five employees.

     

     

*Recent experience is defined as experience normally acquired within the last five years.

 

Competencies

All competencies will be assessed. All competencies must be met prior to appointment. 

  • Knowledge of transportation coordination (logistic and operation activities)
  • Knowledge of fleet management (including inventory and equipment)
  • Knowledge of Microsoft 365 (Word, Excel, Outlook, Teams);

  • Excellent written and oral communication skills in French (advanced level) and good communication skills in Creole (intermediate level).

ASSET QUALIFICATIONS

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

• Relevant experience in a similar position within a diplomatic mission or an international organization;
• Knowledge of English (spoken and written).

 

OPERATIONAL REQUIREMENTS

Operational requirements will be assessed on a ``meet/does not meet`` basis and can be used to determine right fit of a candidate for the position.

  • Hours of Work: Normal hours of work of work for this position are in accordance with Locally-Engaged Staff regulations of 37.5 hours per week.
  • Overtime: Willingness to work overtime on short notice.
  • Ability to work in a variable security environment
  • A combination of Haitian and Canadian holidays, meaning that you will be required to work on some Haitian holidays

 

CONDITIONS OF EMPLOYMENT

  • Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
  • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada.
