Summary of Duties / 工作职责:  

 
Under the general direction of the Head of Mission (HOM) and Foreign Service Administrative Executive Assistant. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks and people effectively as per the duties below: 

  • Housekeeping and Maintenance: Coordinating the general cleaning, maintenance, and upkeep of the Official Residence (OR).

  • Staff Supervision: Overseeing OR cleaning staff and managing their schedules.

  • Inventory Management: Managing the inventory of OR supplies, including assets, and cleaning supplies, in coordination with the Property team.

  • Hospitality Assistance: Assisting with dinners, receptions, and other events, including meal preparation according to Canadian standards in the absence of the Official Chef, guest greeting.

  • Financial Oversight: Making payments to vendors, and maintaining a tracker of all events and expenditures.

  • Collaboration: Working with the Head of Mission, the HOM’s Assistant mission staff, suppliers, and vendors to maintain a high-quality of service in the Official Residence.

Operational Requirement / 工作要求: 

  • Work Schedule: 37.5 hours per week (Monday to Friday). 

  • Flexible Hours: Willingness to work flexible hours depending on events, including evenings and weekends. 

  • Overtime: Willingness to work overtime, often on short notice. 

  • Physical Work: Willingness to perform physical tasks such as moving chairs, tables, and furniture for event organization. 

  • General Household Duties: Willingness to perform tasks such as; minor repairs, cleaning, polishing furniture, shining silverware, and watering plants, in collaboration with the gardener and cleaner. 

  • Public Holidays: Required to work on certain Chinese holidays, following a schedule that combines Chinese and Canadian public holidays.
