Summary of Duties:

Under the direction of the Head of Mission (HOM), the Official Residence Supervisor is responsible for:

  • Managing housekeeping, maintenance, and hospitality operations of the Official Residence (OR). This includes supervising OR staff (either temporary or permanent) and contract personnel, providing property oversight, and managing the OR food inventory and supplies. In the absence of a Chef, overseeing the preparation and service of dinners, receptions and other forms of official hospitality.
  • Providing advice and recommendations to the common services section and management of the mission on budget planning for food and hospitality events.
  • Advising the HOM of any required purchases of supplies or equipment.
  • Overseeing hospitality activities at the OR. This includes assisting in the scheduling and planning of OR activities, receptions and/or events, handling all OR event bookings and requests.
  • Providing cost estimates for food and supply purchases for events and maintaining records of food and menus from all official hospitality events.
  • Developing and maintaining a network of local contacts such as contractors and local suppliers to coordinate the procurement of all supplies, resolve issues, and make necessary arrangements when mission is hosting an event.
  • Liaising with program managers and the Executive Assistant to maintain a schedule of all official Embassy activities, including all hospitality events and repairs scheduled.
  • Managing OR staff and/or contractors (maintenance or events). This includes establishing and overseeing housekeeping schedules, leave and work for OR staff or Labourers, maintaining attendance records of contract personnel, and confirming timesheets and reporting on their performance.

 

Area of Selection:

This position is open to candidates who have the right to reside and work in Egypt as an employee on a permanent basis as well as to all employees of the mission occupying an indeterminate or determinate position and to employees hired in emergency situations, who have all the essential qualifications and whose applications are received before the closing date.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

Education:

Candidates will be required to provide proof of the completion of their education.

      • Diploma (or equivalent qualifications) in a relevant field such as hospitality, events management, communication, etc. issued by a recognised institution;

OR

      • A combination of a diploma from a recognised institution and 3 years' work experience performing the functions related to the position which may include areas such as hotel management, butler services, private residence management, financial and goods management, event planning and hospitality, and other related.

Language:

      • Proficiency in written and spoken English.
      • Proficiency in reading, writing and spoken Arabic.

Experience:

      • At least 3 years of experience performing the functions related to the position which may include areas such as hotel management, butler services, private residence management, financial and goods management, event planning and hospitality, and other related.

 

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:

      • Knowledge of general inventory practices, including tracking and verification of all equipment, materials, supplies and other official assets.
      • Knowledge of Microsoft Office tools including using MS excel to manage events budget.

Competencies:

      • Organization and coordination – ability to establish priorities.
      • Judgement and discretion.
      • People management – scheduling, coordinating and supervising work of staff and contractors.
      • Working with Others and Horizontal Leadership.
      • Client orientation – establish and maintain effective and professional working relationships with internal (colleagues and supervisors), and external (suppliers and contractors) clients.
      • Resilience and Adaptability.

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

      • Knowledge of French.
      • Previous experience working for a Diplomatic Mission, international organization or other similar.

Operational Requirements:

      • Ability to work overtime and weekends on a regular basis.
      • Ability to work on public holidays in Egypt if engagements take place.
      • Schedule: 37.5 hours per week.

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

      • Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
      • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
      • Other conditions of employment: Medical exam.
