Summary of Duties:

This position provides executive administrative support services to the Consul General. Duties include: 

  • maintaining the Consul General's schedule, calendar, contacts database; 
  • liaising with high level contacts' offices in government, private sector, and civil society; 
  • preparing the consul general's visits within Istanbul and/or outside of Istanbul/country, including scheduling meetings, logistical arrangements, and coordination of briefing material; 
  • organizing high level meetings and coordinating events; 
  • delivers communications services including ensuring the smooth operation of the communications unit, developing communications tools, managing social media campaigns, content and day-to-day operations on the mission's digital platforms in addition to establishing and maintaining proactive media relationships with international media networks; 
  • conducting research, drafting official correspondence including letters and diplomatic notes in English, and/or Turkish language; 
  • tracking and reporting on budget; 
  • processing invoices and preparing claims for payment; 
  • data entry; 
  • maintaining a robust and effective network of contacts in senior officials offices; 
  • performing other duties as required.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

Education:

Candidates will be required to provide proof of the completion of their education.

  • A university degree from a recognized university

 

Language:

  • Advanced level in English (written and spoken)
  • Advanced level in Turkish (written and spoken)

 

Experience:

  1. A minimum of two (2) years of experience in providing administrative support in an office environment, including:
    • Managing correspondence such as drafting emails and memos, and completing reports
    • Tracking and reporting on budgets
    • Organizing and coordinating events and/or meetings
  2. Experience maintaining and leveraging an effective network of contacts

 

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Fluency in French (oral, written, comprehension)
  • Experience working in a diplomatic mission/or Government of Canada in an administrative position
  • Experience working with a financial systems such as SAP/IMS
  • Experience in financial processes (e.g. invoice payments, processing claims for travel or hospitality, preparing contracting/financial agreements
  • Previous experience of direct support for a Head of Mission, CEO or Minister or senior executive/official
  • Proficiency with digital platforms and tools for day-to-day social media operations

 

Operational Requirements:

  • Hours of work: 37.5 hours per week, Monday to Friday
  • Required to work directly with internal and external stakeholders
  • Ability to work overtime and sometimes on short notice
  • Ability to work on Turkish holidays when the Consulate is open
  • Leave is at the discretion of the supervisor and may be restricted or refused during peak operating periods

 

Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.

- Other conditions of employment:

    • Proof of right to work in Türkiye and copies of diplomas will be required at the interview stage
